Dear Joel,

Please find an important update below from the block management regarding an upcoming fire door inspection:

Dear Residents

Please be aware there will be a surveyor attending Beechwood Court between 8am – 2pm on Thursday 18th June 2026 to carry out an inspection of Communal and Individual Flat Front Doors.

As your door failed the last inspection, please can you ensure someone is available to allow access to your flat between these times.

Should the surveyor not be able to gain access, we would ask that you find a competent person to test your door as soon as possible to ensure fire safety throughout the building. As the Leaseholder it is your responsibility to ensure your flat front door complies with current fire regulations.

If you let out your property, please ensure your tenant is informed.

If you have any queries, then please do not hesitate to get in touch.

Tom,

I think this has gone to the wrong person. I don't live at Beechwood Court, I've never lived there, and I don't own a flat there. I don't own a flat anywhere. I have never been to Burnley.

That said, I don't want to be the reason a fire door goes uninspected, so I've arranged cover. My friend Rob is copied in. Like me, Rob has never been to Beechwood Court and does not know where Flat 11 is, but he is free on Thursday and can stand in the car park from 8am. He'll have his nine-week-old daughter with him. Between them they can point at the building.

Could you also check the actual person got the original letter? There's a deadline attached, and it would be a shame for the door to go uninspected on a technicality.

Hi Joel,

Many thanks for coming back to me so quickly, and for providing your keyholder's details — I've noted that access on the 18th is confirmed, and I've passed Rob's name to Fenwick for the register.

On your other point: the access portal requires a yes/no response to "Will someone be available?", and I've entered yes on the strength of your email. If this is incorrect, reply and I'll change it to no — though I should flag that "no" triggers an escalation to the insurers, so ideally yes.

No.

I do not live at Beechwood Court. I have never lived at Beechwood Court. I do not own a flat there or anywhere else. I have never been to Burnley.

Rob is my friend. He stood in a car park once, in an email. The baby is nine weeks old and cannot hold a fob.

Somewhere in Burnley there is a door that needs looking at. It is not my door. I do not have a door.

Hello Tom,

Happy to help. I can do any Thursday, and most other days, at present.

To confirm my duties as I understand them: I will stand in the car park of Beechwood Court from 08:00 on Thursday 18th. When the surveyor arrives I will indicate the building. I do not know which flat it is, where the keys would be kept, or who the surveyor is, but none of that has come up yet, so I'm not worried.

My daughter is nine weeks old. She is largely non-verbal but very reliable, and she does not need a parking space.

Let me know if there's a dress code.

Gents,

Excellent news — thank you both for confirming. I've passed your details to Fenwick and Rob has been added to the keyholder register for Flat 11. The register extract is attached for your records.

Fobs have been issued to Rob and, per the register's household rule, to Rob's daughter. Fobs can be collected from the intercom cabinet by the bin store using the fob.

Access for the 18th is now fully covered, so I'll close this off my end. Please ensure Rob attends — non-attendance is chargeable to the leaseholder under the terms of the tenancy.

Gents — forwarding on from Fenwick below. Not much I can add at my end; the register was correct, the attendance was correct, the outcome speaks for itself. Invoice attached. I'd get this paid inside 14 days if I were you, it goes to the insurers after that.

Dear Sirs,

The surveyor attended Flat 11, Beechwood Court at 09:14 on 18 June 2026. Access was provided in the car park by a male holding an infant (both since identified on the keyholder register). The keyholder was unable to identify the flat, the floor, or the door. The inspection could not proceed.

Fob 0031 was presented at the main entrance on four occasions between 08:41 and 09:02. Fob 0031 was in the intercom cabinet at the time. The door did not open. This has been logged with the access-control contractor as a fob fault and with us as an access attempt.

Outcome: FAILED — NOT INSPECTED. Under the terms of the lease, the leaseholder is responsible for ensuring the flat front door is inspected by a competent person. A competent person has now been engaged on the leaseholder's behalf. The enclosed recharge notice itemises the costs.

Our insurers, Hartfield Domestic Underwriting Ltd, have been notified of the failed outcome as a matter of routine.

I am not paying this invoice.

I have never been to Burnley. Rob stood in a car park. His daughter is eleven weeks old now. The register says nine. The door has not been inspected. Every one of these facts is in your own file.

Rob does not have a fob. Nobody has ever had a fob. The fobs are in the intercom cabinet by the bin store, and your email says they are collected using the fob.

The recharge notice BC-2611 remains unpaid. The balance has been settled from the building's reserve fund and recovered in equal portions from all leaseholders.
Flat 11 was re-inspected on 4 August 2026. The door passed. Access was provided; the record does not state by whom. The outcome field is the only mandatory field.
The leaseholder's details are now considered verified. Method of verification: correspondence.
Fob 0031 remains outstanding.
